Job Title: Estates Administration Assistant
Location: Crowborough (Will also need to travel periodically to Seaford)
Temp to Perm: £20,000
Key Duties:
Provide administration support to the Estates Lead to ensure that an efficient and timely service is provided.
Compile and issue works purchase orders. Ensure completed orders are issued to supplies and maintain a log.
Follow up with contract FM provider to progress chase reactive maintenance tasks
Maintain log of outstanding tasks
Liaise with Facilities Teams, other departments and volunteers as appropriate to arrange works
Liaise with departmental representatives to ensure tasks are completed in a timely manner
Issue task instructions to handyman and monitor work
Issue task instructions to volunteer handyman and monitor work
Maintain Estates compliance document for Monitor completion of task updating the Estates Manager as necessary
Arrange and coordinate the process of obtaining works quotations
Attend meetings as required working with Estates Manager to prioritise and complete actions
Assist Estates Manager with production of weekly staff update bulletin
Update and distribute documents, action plans, forms and policies.
Collate utility and environmental information.
Responsible for the upkeep and filing documentation relating to the Estates department and
SLA providers.
Review FM provider records to ensure statutory compliance and identify missing information.QUALITY
Record keeping being maintained in accordance with policies and procedures, using the appropriate formats.
Liaise with contractors (SLA), heads of departments and in a professional manner.
Ensure all quotation requirements are specific and consistent.
Consider the impact on patients and the organisation.
Key Knowledge, Skills and Experience:
Must Haves
Proficient in Microsoft Word, Excel and Outlook with recent working experience
Excellent Keyboard/ skills
Good general education - minimum GCSEs or equivalent A-C / 5-9* in Maths and English.
A minimum of 2 years recent administration experienceNice to Haves
Previous experience in a medical setting will set you apart from the rest
Previous facilities management experience
