Job Description: Project Co-ordinator - Summary
The main purpose of this role is to support and assist the ‘Head of Public Health Contracts’ at Wellbeing People in the management and delivery of the Public Health projects. These projects will be delivered across the UK and Europe. The overall aim is to improve health outcomes, reduce health inequalities and increase confidence and employability of people, through improved self-management. This will involve working with a wide range of partner organisations including community health services, local authority, public health, NHS trusts and other organisations e.g. charitable trusts.
The post holder will support a range of projects including the Public Health projects:
The Family Mile Pilot Project – The Mason Mile
The Men’s Shed, Step By Step (SBS) project
ASPIRE project
Golding Homes – Schools project
Kenwood Trust – Drug and Alcohol recovery project
Health MOT Roadshows – NHS Health Checks
Key Performance and Results
1. Assist with the development, delivery and coordination of designated projects across the UK and Europe. Implement these projects and prepare regular written progress reports to the Head of Public Health Contracts and other partners.
2. Implement and coordinate services relevant to the projects.
3. Develop and maintain excellent working relationships with all partners, internal and external to ensure the projects are implemented effectively and efficiently.
4. Jointly responsible for improving service efficiency, coordination and evaluation of the projects.
5. Identify and support service improvements which will include liaising with other partners on a variety of projects.
6. Attend relevant project meetings.
7. Identify and monitor service improvements within all projects.
8. Work effectively with partners, service users, professionals and managers across organisations to provide and receive information to influence change or overcome barriers.
Duties and Responsibilities
Communicate sensitive information on the progress of the projects to the Head of Public Health Contracts and key partners.
Facilitate meetings with the Head of Public Health Contracts and partner organisations including community health services, local authority, public health, NHS trusts and other organisations to agree priorities and action plans.
Responsible for the preparation of event schedules and written quarterly progress reports or information relevant to projects.
Liaise with the Client Events Coordinator (WP operations department) to define quarterly event schedule.
Make initial contact with relevant authorities to seek permission to stage events in identified locations.
Handover to operations department for arrangement of the fine details of individual events.
Process and maintain data collection for all relevant projects.
Work collaboratively with client and respond to client requests in relation to achievement of project outcomes.
Monitor stock level of NHS Health Check equipment and place orders as required.
Carry out monthly external quality assurance test of NHS Health Check equipment.
Provide weekly updates and progress reports on relevant project progress.
Maintain a spread sheet database of all project indicators.
Collaborate with front line staff to design participant engagement strategy.
Planning and preparation of internal resources for regular large-scale events.
Assist with monitoring overall project progress against a variety of project deliverables:
1. Track project progress according to the pre-determined project plan and contribute to deliverables as necessary.
2. Track all project activity and assist with the submission of an annual report detailing activities for the year with supporting evidence.
3. Assist with maintaining evidence of all project activities on in-house system and an online shared project repository.
4. Collaborate with project partners when necessary to ensure completion of project deliverables.
5. Work with in-house marketing department to design project communication strategies and achieve communication deliverables.
Liaise with project partners regarding kiosk installation and engagement with target population.
Provide delivery partners with quarterly kiosk reports.
Assist with the creation of event schedule for wider community engagement and project promotion.
Provide project updates when necessary.
Skills and abilities
A working knowledge of the public health sector.
Excellent oral and written communication skills with experience of report-writing.
Excellent organisational skills, ability to remain calm under pressure and balance conflicting priorities to deliver to deadline.
Proven ability to gather and collate basic statistical data and presenting numerical data in a clear and understandable format.
Ability to communicate effectively with people from a range of backgrounds and all levels of seniority.
High level of computer literacy including applied knowledge of Microsoft Office (Word, Excel and Outlook)
Hours: Permanent full-time position: 0830 to 1700 hours
Location: Marden Head Office, Tonbridge, Kent
