Job Description: Job Title - Client Manager

Location - Victoria

Salary - £30,000

Start Date - ASAP

Type of Role - Fixed term contract Maternity Cover

Hours - Monday - Friday 9am - 5.30pm

The main purpose of this role is to be the first point of contact for all client queries and

bookings. The candidate will manage all aspects of the client journey from initial enquiry to

training/conference delivery.

A day in the life of your new role:

 Handling and processing each new booking within 24 hours

 Check incoming PO documents to see if they relate to a new or existing booking

 Generating and sending invoices to clients

 Uploading all bookings to CRM system

 Sending Enrolment emails to qualification candidates once bookings have been

placed

 Sending 'joining instructions' to delegates for all training courses and conferences

and handling all related email queries which follow

 Working with Training Manager and COO to identify courses which have not met

minimum numbers. Where cancellations are required, the website is to be updated

and the delegates notified

 Maintaining the bookings database on the CRM system

 Keeping the calendar and diary up to date with new courses and events

 Updating website when courses become full or when date alterations are required

 Working with COO to identify courses which need additional promoting through digital marketing campaigns

 Reconcile payments against invoices, providing the information to Accounts, and

updating CRM system for each payment received

 Pay in cheques weekly

 Manage Petty Cash

 Invoice chasing - 4 weeks, 8 weeks and 12 weeks post generation

Background/experience in Customer Service, hospitality or events planning/administration.
Strong administrative experience.
Highly organised and meticulous with excellent attention to detail.

Excellent communicator
Excellent telephone manner
Good written skills
Good at multi-tasking
Good at problem solving
Reliable and good timekeeping skills
Confident with the basic office software packages (Word, Excel, PowerPoint, Internet Explorer, etc)
